Where Do I Start to Build Processes & Efficiency When Overwhelmed in My Business?

A Contractor University Member recently utilized the Ask-The-Expert Q&A feature within the member dashboard by submitting the following question and received the response below.

Contractor Question:

“I’ve hit the $1 million mark in my contracting business, and instead of things getting easier, they’ve gotten harder. It’s just me and one employee and I’m wearing every hat. Where should I start when building our processes to make my business run smoother and improve my work life balance?”

Contractor University Expert Response:

“That one million barrier is a big one and not easy to break. It’s at this point the owner needs to start becoming more of a business owner and less of a technician.

The most important first step is creating a clear vision for the company.

Before diving into tools, processes, or hiring decisions, you need to define where you want the business to go. What does the company look like in five years? Ten years? Allow yourself to think big, but be specific. Define target revenue, gross profit, net profit, number of trucks, team size, facility type, and the role you personally want to play in the business.

When the destination is clearly defined, the path to get there becomes much clearer. At that point, building the business stops feeling overwhelming and starts becoming a matter of prioritization, math, and structured decision-making.

For contractors at this stage, scheduling a coaching call is often the fastest way to gain clarity. Having an experienced coach help translate your vision into an actionable roadmap can prevent wasted effort and accelerate progress. In many cases, it’s also valuable for key partners — such as distributors or advisors — to join the conversation so everyone is aligned on where the business is headed and how to support that growth.”
